JOB OVERVIEW

The Administrative Assistant will provide administrative and clerical support for the organization. This individual will handle a variety of responsibilities across multiple departments in an attempt to make organizational operations, projects, and processes more effective and efficient.


The Administrative Assistant will report to the Director of Operations as a part of the Operations Department, which is responsible for ensuring that the Alliance has the people, processes, and platforms to optimize organizational health and achieve our mission.


We expect this individual to adhere to the Alliance’s hybrid work schedule, working both remotely and from our office in Bala Cynwyd, PA. They must work in the office at least two to three days a week initially, with additional days as needed.


JOB RESPONSIBILITIES

  • Administrative Work
    • Maintain, organize, and order general office supplies and equipment to ensure employees have everything they need
    • Assist with general office-related work, including furniture or layout changes and simple technology set-up and requests
    • Enter data into organizational databases
    • Prepare hard copy materials (e.g. printouts, presentations, etc.) for meetings
    • Copy, print, and scan organizational documents
    • Answer phone calls and take messages as necessary
    • Receive, sort, and distribute the mail
  • Communication and Coordination
    • Assist with planning and coordination of organizational events, including both external and staff events
    • Communicate and collaborate with internal staff, as well as external vendors and stakeholders
    • Coordinate travel arrangements for members of the staff
    • Take detailed meeting notes and follow up on action items until completed
  • Other
    • Review, proof, and format documents as requested
    • Conduct research on various topics as requested
  • These duties may change or expand over time consistent with our organization’s initiatives.


QUALIFICATIONS

  • Experience and Skills
    • 3+ years of experience as an Administrative and/or Executive Assistant
    • Exceptional attention to detail and time management skills
    • Demonstrated ability to organize, prioritize tasks, and meet deadlines
    • Excellent written and verbal communication skills
    • Event planning or coordination experience is preferred
    • Technologically proficient; experience with Google Workspace and/or AirTable (or a similar CRM) is preferred
    • Basic office technology experience, including working with multi-function printers
    • Ability to lift and/or move boxes weighing up to 15-20 pounds
    • Experience or interest in education and/or nonprofit management is a plus
